Internet Terms and Conditions – In addition to booking conditions (see below)
NOTE: The booking process used on this site is a 'request' for accommodation only. Completion of the booking request process does not guarantee availability of the holiday home or touring pitch, or of the price quoted, which is provided here only as a guide. Hendra Holiday Park strictly adheres to our family and couples only rule, accordingly we check not only the availability of requested accommodation but also party make-up before confirmation any booking is made.
On Submission of your booking request, if the facilities that you requested are available and the amount quoted in the guide price provided during the booking process is accurate your account will be debited, at which point the booking has been formally agreed and accepted by Hendra Holiday Park. If for any reason, the facilities that you requested are not available, or there has been a variation in price, Hendra Holidays will contact you and advise you of the details and suggest alternative arrangements and confirm costs. If you accept the proposal then your account will be debited to the newly agreed amount, at which point your booking will be formally agreed and accepted.

2. We will then send you confirmation showing your balance which must be paid at least 40 days before your arrival. Please note that reminders are not sent.
3. The Cancellation Scheme premium is automatically included in the deposit unless you specifically select otherwise. We strongly advise you to take this as no refunds are given without it. For a small premium, Hendra will refund any monies paid excluding the cancellation and booking fees, provided we receive written confirmation of cancellation of the entire party at least 40 days before the commencement of your holiday. Between 40 days prior to arrival and your arrival date Hendra will only refund if cancellation is due to any of the following - death, serious illness or redundancy to a member of the booked party. Please note that the claim must be in writing and supported by the relevant documents. Our acknowledgement is evidence of our having received your notification.
Please note – Our cancellation scheme covers you until you arrive on site after which refunds cannot be given if for any reason should you leave early. You may wish to take out your own holiday insurance to cover this.
4. For touring pitches, bookings will be accepted for any day of the week and for any duration. However, during the peak periods, bookings for our super pitches and electric pitches must be for a minimum of 7 nights, and a minimum of 3 nights must be booked at bank holidays. Please note that there is no guarantee that pitch availability can be extended beyond the dates booked. During the peak season, bookings for our Holiday Homes will only be accepted for a minimum of 7 nights.
5. Privacy. The information supplied in the booking form process will be stored on computer for the purposes of future distribution to you of our advertising material and under no circumstances will be passed on to a third party. For the purposes of the Data Protection Act 1984 the submission of the Booking form signifies consent to this.
1. Hendra caters for families and couples only and does not accept all male, all female or uneven numbered mixed parties. In certain circumstances Hendra will accept bookings from sports clubs, school groups or similar.
2. The holiday must, if booked, be paid for in full at least 40 days before the date of arrival. If not, we reserve the right to re-let the unit without notice or charge a £15 late payment fee.
3. Please note that we only reserve specific pitches or Holiday Homes if requested, at a cost of £15.00 per unit booked, and group bookings at a cost of £10.00 per unit booked. If you have particular requirements or require 2 or more units together we strongly recommend that you take up this option as otherwise no guarantee can be made that you will be together.
4. Unless you notify us of late arrival your pitch or Holiday Home will only be held until noon the day after the booked arrival date (provided full payment has been received) at which time it may be re-let without notice.
5. Hendra's Cancellation Premium is automatically included in your deposit. For this premium, Hendra will refund all monies paid (excluding the cancellation and booking fees) provided we receive written confirmation of cancellation of the entire party at least six weeks before the commencement of your holiday. Between six weeks prior to arrival and your arrival date Hendra will refund if cancellation is due to any of the following: death, serious illness or redundancy to a named member of the booked party. Please note that the claim must be in writing and supported by the relevant documents. Our acknowledgement is evidence of having received your notification.
Cancellation Scheme Charges
Please note – Hendra's cancellation scheme covers you until you arrive on site after which refunds cannot be given if for any reason you leave early. You may wish to take out your own holiday insurance to cover this.
If you have your own holiday insurance and do not require Hendra's cancellation scheme we will require you to put this in writing to us so that we can remove the premium. This must be received within two weeks of the booking being made. Please note that no refunds will be made on bookings without the cancellation scheme.
6. In the instance of behaviour detrimental to other holidaymakers, persons responsible may be asked to leave the site without refund.
7. The company reserves the right to terminate any booking.
8. Persons using Hendra and its facilities do so entirely at their own risk and Hendra will not accept liability for the loss or damage to persons and/or property.
9. Please note that there will be a charge of £15.00 for any alteration you make to a confirmed booking.
10. If your cheque is returned to us by the bank as 'unpaid' we will charge you £10.00 to cover the costs incurred.
11. Prices are inclusive of VAT at 17.5%. If the VAT rate changes, the prices will be increased or decreased accordingly and the actual amounts will be determined by the rate prevailing on the day your money is received.
12. No driving is permitted around the site between midnight and 6.00am.
13. Our Health and Safety Policy is available in Administration for inspection.
14. Please note that no electrical appliance should be brought on site and used without a current Portable Appliance Testing certificate.
15. Please note that there will be a charge for pulling vehicles off pitches.
16. A provisional booking can be made which will be held for a maximum of 7 days.
17. Pool passes and activity passes must be booked prior to arrival.
18. Pets. Well behaved dogs are welcome in some Tolcarne vans and some touring fields. They must be kept on a lead at all times – an exercise area is provided. All dogs should be pre-booked and a charge applies. Hendra reserves the right to refuse certain breeds of dog that it deems inappropriate for a family site. The list includes:

19. All accommodation is booked on a self catering basis,
we do not provide towels, coat hangers, duvet covers (in our
premium van range), duvets (in out budget range), bed linen
or electric hook-up cables (touring). Certain items can purchased
from our onsite supermarket.
20. Membership passes do not guarantee you entry to site facilities, during exceptionally busy periods access to certain facilities may be limited.
21. Membership passes do not qualify as proof of age, we reserve the right to ask for photo identification when purchasing alcohol on site.
22. The Company reserve the right to change the on site entertainment at any time without prior notice.
23. Hendra does not accept responsibility for any personal property left on site. We will be happy to forward any items left (if found) for a minimum return fee of £10.00.
24. We do ask for a £50.00 key deposit which covers any breakages or shortages and is returnable within seven days of your departure. We do not accept cash key deposits on arrival. This deposit is to be paid with your final balance. If deemed necessary a £25.00 cleaning fee will be charged. Liability is not limited to £50.00 and rests with the named party leader.
25. Bookings are from 4.00pm on the day of arrival (unless an early 12 noon check in has been pre-booked). Please note that no unit will be let out before 4.00pm for checking and maintenance reasons, although you are welcome to use our facilities before that time. The vans must be vacated by 10.00am on the day of departure.
26. Bed linen MUST be used in our caravans. Sets consisting of sheets and pillow cases may be hired from Reception. We do not hire duvet covers and cannot provide duvets for our budget van range.
27. The total number of persons occupying a caravan must not exceed the number booked and only guests that are registered on your booking are permitted to stay. You are welcome to register and pay for day guests at reception.
28. The Company reserves the right to enter the caravan or to have the police enter, at any time.
29. In most cases a vehicle may be parked beside your Holiday Home. Please note, however, that no vehicles may be parked beside the Tolcarne and Holywell vans as this is a pedestrian way. There is parking to the side of the area.
No space is available in the Tolcarne vans for a travel cot.
30. During high season sites may not be available until 12 noon on the day of arrival and must be vacated by 10.00 am on the day of departure.
31. Please note that there is no guarantee that touring bookings can be extended beyond the dates originally booked.
32. A maximum of two vehicles can be parked on your pitch. Any additional vehicles will be charged the normal rate and parked elsewhere on the site.
33. The size of the unit booked must be stipulated at the time of booking to ensure your pitch is large enough. If this is not done or the unit size alters, we cannot accept responsibility if your pitch is the incorrect size.
34. During peak season a minimum pitch will fee will apply.
35. Please note that the Super Pitches, Grand Premium Pitches and electric pitches have to be booked for a minimum of 7 nights during peak season.
